Position Title: Operations Assistant
The Select Group is looking for an Operations Assistant with strong customer service experience and the ability to manage end-to-end coordination of the inspection process for gas and electric construction service orders.
Work Hours: 6:30 AM-3:30 PM
Schedule: 100% Onsite Mon-Fri
Work Location: San Diego, CA
Qualifications:
- 1–4+ years of experience in customer service, administrative support, coordination, scheduling, dispatching, permitting, or similar role
- Strong customer service skills; professional communication via phone and email
- Strong organization and time management; able to schedule trench inspector work and manage multiple inspection schedules simultaneously
- Problem-solving skills to identify and resolve scheduling conflicts
- Ability to adapt to changing priorities and tackle challenges related to unexpected issues that may arise during the inspection process
- Strong attention to detail; accurate data entry and documentation
- Ability to track project status and provide updates/reports
- Collaboration skills across internal teams, field crews, contractors, and external stakeholders
- Proficient in Microsoft Office (Outlook, Excel, Word, Teams)
- Excel skills (spreadsheets, data entry, sorting, filtering)
- Ability to learn and use new systems quickly
- High school diploma or equivalent required; Bachelor’s preferred
Preferred Qualifications:
- SAP experience
- Experience with permitting, scheduling, or dispatching processes
- Experience in construction, utilities, municipal operations, or related industries
- Experience working with contractors, inspectors, and field crews (electricians, plumbers, gas, etc.)
Project Details: This team manages end-to-end coordination of construction service orders for gas and electric services, including new installations, remodels, upgrades, relocations, and removals for large commercial customers such as apartment complexes, high-rises, developments, shopping malls, and other commercial properties. This role provides customer service via phone and email to collect service order details during intake and to provide ongoing project status updates. A key responsibility is coordinating required pre-construction inspections, including scheduling trench inspectors and managing multiple inspection schedules simultaneously.
Key Responsibilities:
- Manage end-to-end coordination of the inspection process for gas and electric construction service orders
- Provide customer service via phone and email to collect service order details during intake and provide ongoing project status updates
- Process work orders and facilitate all pre-construction inspections (trench, conduit, gas service, and other required inspections)
- Collaborate with relevant departments to establish inspection priorities and schedules
- Schedule work for inspectors and coordinate with inspection teams to ensure sufficient resources for each inspection
- Manage multiple inspection schedules simultaneously
- Oversee hotline requests and work orders for inspectors
- Track construction progress by gathering updates from builders and project stakeholders
- Manage meter dashboards by creating or updating Excel spreadsheets, performing data entry, and extracting data from various systems
- Use SAP and other internal systems to assign project/job levels and maintain records with accurate job status
- Maintain accurate records of inspection schedules, outcomes, and changes
- Ensure data accuracy by applying analytical problem-solving skills to review, research, and validate information
- Communicate project status updates to stakeholders and coordinate follow-up actions as needed
- Perform additional duties as assigned
